Kalakaari Haath x Iterator

Kalakaari Haath was born as a passion of Sahiba Madan, the founder and CEO, an architect turned entrepreneur. It started as a passion for art and design and scaled thanks to quality and premium designs.

Initially, Kalakaari Haath built their website on WordPress, considering the flexibility and cost efficiency it provided. WordPress was particularly suited for them because it offered real-time calculations according to various sizes entered and allowed per-meter and per sq. ft pricing. However, over time the website became slow and customers started facing problems. Understanding the customer frustrations, Kalakaari Haath started looking for solutions and that's how they reached out to us.

The Key Challenges

Product Configuration Complexity

Kalakaari Haath's products are not one-size-fits-all. Customers need to specify custom dimensions, and prices are calculated per meter. This flexibility is a core part of their value proposition, but replicating the real-time calculation functionality from WordPress into Shopify was a challenge since Shopify does not allow real time price calculations.

Complex Order Management

Kalakaari Haath operates across many different product categories, each requiring unique customization levels and distinct order flows. Their team was juggling between Excel sheets and managing processes across multiple platforms.

Global Store Operations

The way Kalakaari Haath deals taxation with domestic orders and the International orders is different. Shopify does not allow billing in multiple currencies without Plus plan Shopify Payments, which is not available in India.

Data Migrations

Data Migration from WordPress to Shopify is usually a challenge. In case of Kalakaari Haath this complexity multiplies since they had custom dimensions and in Shopify we cannot have custom dimensions and their products were to be mapped in certain way to give the option like custom and the old WordPress free flowing order data was to be mapped in structured format of Shopify.

Our Approach

Kalakaari Haath was a complex project, so a lot of solutioning was done even before the project started. Shopify turned out to be our go to platform with a lot of custom developments on top of that to deal with Kalakaari Haath's complexity. We finalised on our way to set up products in a way to work like they used to earlier in WordPress—custom dimensions entered and pricing calculated in real time.

Implementation Highlights

Product Setup

Product categories like Wallpapers, Curtains, Embroidered Wall Arts required input fields where customers could enter custom dimensions. We created variants at uniform intervals and allowed custom dimension entries on the storefront, then mapped variants to the nearest available variants using proper rounding and bleed margin logics. We successfully set up almost 1,000 products with 400+ to 900+ variants each for some categories.

Storefront Development

To get to the ground faster, a premium theme was chosen and further development was done on it to make it functional and have features as per needs of Kalakaari Haath. Some of those customizations are as follows—

  • Quantity Selector replaced by Input boxes to get numbers in inches or millimeters
  • Warning Messages for Higher or Lower entered values
  • Add to Cart button customized to show the area calculated for and prices simultaneously.
  • Custom messaging above add to cart button for transparency of calculation logic for specific categories.

Data Migration

Due to the complex product setup, variants ranged from 400 to 900+ for many products. Previous years' order data needed to be mapped to these products to maintain accurate records. Despite updated product names and changed variants—since earlier customers could enter any number, but now variants were at intervals designed to support Kalakaari Haath and the Shopify ecosystem—we successfully migrated all data to maintain the integrity of the data.

Custom Order Management System

Given Kalakaari Haath's complex operations with category-wise made-to-order processes, we developed a custom Order Management app with the following features:

  • Dashboard — A centralized dashboard shows store situation stats including order counts and order statuses for each store, making it easy to understand the overall health of operations.
  • Orders — Orders can be viewed at three levels—order level, line item level, and production screen—each designed for different departments. Superadmins can assign role-based access. The production team also has access to upload images directly, which are then shared with customers for preview.
  • Flows — Each of Kalakaari Haath's categories has a unique operational flow. Embroidered Wall Art doesn't follow the same process as Wallpapers or Decals. We created different flows using combinations of statuses like framing for framed Wall Arts and printing for decals. These flows are automatically allocated based on product types.
  • Status and Communication — The OMS not only displays statuses to Kalakaari Haath's team but also makes communication with customers clearer. Product team updates to order status automatically reach customers. Preview and approval management is handled entirely through the system, eliminating the need for individual WhatsApp and email approvals.
  • Invoices — The OMS generates invoices for both online and offline stores, downloadable in bulk or as needed. Custom tax configuration allows selection between SGST/CGST or IGST. The system also processes Credit Notes for full and partial refunds.
  • Trade Forms — A significant proportion of Kalakaari Haath's revenue comes from Architects. Trade forms are critical for this segment. Data captured from the Shopify storefront can be approved or rejected based on the information provided, all managed through the OMS.

Results

  • Website Speed: Drastic performance improvement over WordPress website, providing customers with fast and responsive product configuration
  • Operational Consolidation: Unified Order Management System eliminated fragmented processes across spreadsheets and platforms, reducing manual data entry and operational errors
  • Process Standardization: Category-specific flows and automated status updates standardized made-to-order operations across departments with clear production visibility
  • Automated Communication: Customers now receive transparent, real-time order updates automatically, eliminating manual approval requests via email and WhatsApp
  • Revenue Enablement: Dual-store setup with custom tax configuration enabled seamless domestic and international operations; trade form management removed friction in architect segment
  • Scalable Foundation: Architecture built on Shopify's native capabilities to support increased product complexity, higher order volumes, and new categories
